Job description
As a Senior HR Administrator, you have an operational role and you are part of the Global HR Shared Services team. You are responsible for delivering accurate, compliant, and employee‑focused HR administrative support across the employee lifecycle.
While based in Belgium and acting as a key point of reference for Belgian HR administration, you also provide global HR operational support to employees, managers, and HR colleagues across multiple countries, in line with the shared‑service delivery model.
In addition to your HR responsibilities, you also own office administration in the Belgium office. This includes managing office services and vendors, ensuring health and safety compliance, and coordinating car leasing. You also manage internal events and act as the first point of contact for administrative support for colleagues in Belgium.
Reporting to the Director of HR Operations, you focus on high‑quality execution, coordination, and process consistency, supporting both local requirements and global HR Operations needs.
Key Responsibilities
1. Global & Local HR Operations Support
- Deliver end-to-end HR operational support across the employee lifecycle for Belgium and assigned countries within the Global HR Shared Services model.
- Prepare and manage employment contracts, amendments, confirmations, and HR documentation in line with local legislation and global standards.
- Ensure accurate, confidential, and audit-ready employee data and documentation in HRIS and document management systems.
- Offer support for employees and managers on HR administrative queries, coordinating with HR, Payroll, and specialist teams on complex cases (e.g. absences, sickness, terminations).
- Monitor and apply Belgian employment law expertise to ensure legal compliance and support the localisation and execution of global HR policies and procedures.
- Contribute to Global HR Shared Services excellence by supporting HR initiatives, identifying process improvements, and maintaining HR documentation and knowledge materials.
- Contribute to the creation and maintenance of HR process documentation, work instructions, and knowledge articles to support scalable service delivery.
- Collaborate closely with regional and global HR colleagues to ensure consistent, scalable, and high-quality service delivery.
- Organize local employee engagement activities by supporting logistics, communications, and administrative follow‑up.
- Act as a reliable, service oriented HR contact, ensuring responsiveness, accuracy, and professionalism in all interactions.
2. Workplace & Office Administration Support
- Own the delivery of office and workplace operations in Belgium, ensuring a safe, compliant, and employee centric working environment.
- Oversee day‑to‑day office operations and coordinate relationships with landlords and local vendors (cleaning, facilities, equipment, IT support).
- Manage office supplies, meeting logistics, and support local events and onsite activities.
- Support lease management activities, including office space planning and coordination of moves or refurbishments.
- Act as the local Health & Safety point of contact, ensuring risk assessments, incident reporting, and follow-up actions are completed in line with local regulations.
- Manage the local lease car program, including orders, renewals, returns, and employee support.
- Coordinate HR‑ and office related vendors, tracking service quality and supporting invoice processing in collaboration with Finance.
- Hybrid way of working (presence in the office is required 3 days a week)
Who are you
- 3–5+ years of experience in HR administration or HR operations, preferably within a global HR shared services or matrix environment.
- Strong working knowledge of Belgian employment law, HR documentation, and payroll interfaces; exposure to other countries’ HR administration is an advantage.
- Experience supporting multiple stakeholders across countries and time zones.
- Fluency in Dutch, French, and English (written and spoken).
- Strong attention to detail with the ability to manage multiple parallel cases and priorities.
- Service oriented mindset with a focus on accuracy, consistency, and employee experience.
- Comfortable working with standardized processes while applying sound judgment in local exceptions.
- Clear communicator able to explain processes to employees and managers in a practical way.
- Proactive, collaborative, and open to continuous improvement.
