Your Work Context
Are you an organized and proactive professional who enjoys supporting both management and team? Do you thrive in a dynamic environment where no two days are the same and where you play a key role in ensuring smooth day-to-day operations? Then this Management Assistant position could be the perfect next step in your career.
Jan De Nul Group is known for its groundbreaking projects, literally all over the world and often capturing the imagination. These range from building new ports and creating additional land to realising complex infrastructure works and tackling every form of environmental pollution. A world in change, where our Jan De Nul employees like to do their bit in an innovative and sustainable way!
Your Role
We are looking for a Management Assistant to support one of our departments.
Your responsibilities will include:
You act as an important link between management and the department. As the central point of contact within the team, you ensure the smooth day-to-day operation of the department.
You perform general administrative tasks to support the manager and the team in the management of files and projects.
You work closely with our internal travel department to coordinate business trips for the manager and/or colleagues. You ensure they can travel without concerns and have all the necessary documentation in place.
Managing schedules efficiently is second nature to you. You organize appointments, meetings and events, prepare all necessary arrangements, and ensure proper follow-up of actions and planning.
You assist in the preparation of presentations, take minutes during meetings, and ensure accurate processing and follow-up of related documentation.
You maintain a structured approach to document and file management, reviewing translations, making administrative text adjustments, and preparing comparative analyses when needed.
When a new colleague joins or a team member leaves, you ensure that all necessary administrative steps are completed to facilitate a smooth onboarding or offboarding process.
You handle incoming and outgoing communications with great care and attention to detail. You are able to prioritize effectively and focus on the most important matters first.
What do you bring?
You hold at least a Bachelor's degree in Office Management or a similar field.
You have a minimum of four years of experience as an Office Manager, Management Assistant, or in a comparable role.
You have an excellent command of both Dutch and English, written and spoken. Knowledge of additional languages is considered an asset.
You are proficient in Microsoft Office and can quickly familiarize yourself with other administrative tools.
You handle confidential information with discretion and are able to build trust with stakeholders.
You have a broad range of interests and enjoy a varied role within a dynamic environment where you can take initiative.
You perform well under pressure, can switch easily between different tasks, and are capable of setting priorities independently without losing sight of accuracy or less urgent matters.
You are eager to grow in the role and, over time, contribute ideas on how administrative support processes can be further improved and optimized.
You are available to work full-time from the office.
