Description

Our employees are the beating heart of our growing and dynamic organization. To provide the best service at the office, we are looking for an eager-to-learn, outgoing, and motivated Office Coordinator to strengthen our team. In this role, you are the point of contact for everything related to the daily operations of our office. You will work closely with the current office team and report to the Office Manager.

As one of the two Office Coordinators, you ensure that our office remains a place where creativity and collaboration are central. You are the key figure who brings structure and ensures that everything runs smoothly.

RESPONSIBILITIES:

Quality & Service: Organize work efficiently and ensure a flawless office experience.
Facilities Management: Coordinate cleaning teams, greenery maintenance, and collaboration with subcontractors.
Cleanliness & Logistics: Safeguard order and cleanliness (chairs, waste, boxes, storage areas) and provide logistical support.
Office Mailbox: Manage incoming communication and ensure clear updates.
Orders & Budget: Place orders, create POs, and follow everything closely.
Document Management: Manage relevant documents (maintenance contracts, certificates, instructions) as well as tasks in the ticketing system.
Safety & Access: Assist in managing and monitoring key systems or processes such as access control, the alarm system, or parking.
Internal Events: Organize smaller internal events such as themed drinks (NY, Carnival, Halloween) and support other internal events together with the Office team.
Reception: Handle visitor reception in line with our image and manage incoming/outgoing mail.
Travel: Take on a coordinating role in booking and following up on travel for colleagues (flights, hotels, transport), including monitoring budgets and ensuring a smooth travel experience.

MUST-HAVES:

Communicative, creative, and eager to learn.
Eye for detail and quality.
Good command of Dutch and English.
Stress-resistant and able to work under pressure.
Sense of responsibility and able to work independently.
A hands-on mentality and willingness to roll up your sleeves.
Basic knowledge of Microsoft Office and relevant tools.
Flexible and not afraid of peaks or variable workloads.
