What You'll Do
As a Platinion Executive Assistant, you will be the trusted right hand of your senior executives, providing them with comprehensive support to successfully service BCG Platinion clients. You will need to act as gatekeeper of their time, increasing their work efficiency and helping them to drive their business performance. You will represent BCG Platinion through professionalism and a unique level of service.
You should demonstrate enhanced competence in the following areas: extensive agenda management, proactive follow-up on client development, A-Z worldwide travel arrangements, networking and proof reading. You will partner with other Assistants ensuring synergy in the team’s projects and processes as well as collaborating with other Business Service Teams (BST).
As part of the Platinion Executive Assistant role, you will develop a continuous and strong understanding of BCG Platinion’s strategies and broader priorities. There is an expectation you will develop a commercial understanding in line with your MDs responsibilities and areas of focus.
JOB RESPONSIBILITIES

Client focus (develop a commercial understanding in line with your Platinion MDs responsibilities and areas of focus).

Manage highly complex calendars and political sensitivities to schedule client meetings, case team meetings and events. Effectively prioritise client needs (both within and across different client teams)

Planning and management of complex travel/logistics/itineraries including timely procurement of visas and other travel documentation
-
Preparing and submitting of time and expenses reports within a timely period
-
Tracking, updating, and managing client contact information and commercial pipeline
-
Team with other EAs/Staff members to ensure casework is effectively coordinated
-
Proactively manage internal commitments and effectively manage prioritisation of client and internal commitments

Adhoc cover for colleagues within the Platinion London, Amsterdam, Brussels and Paris offices
-
Care for team wellbeing, escalate any issues to the appropriate channels with sensitivity
Networking (proactively establish meaningful, long-term client relationships with key counterparts and across internal networks):

Build and maintain strong relationships with key clients' counterparts

Be a thought partner for business development planning, manage the cadence of networking for your MD, both during case work and throughout the year

Deep integration within a given Practice Area (PA), assisting with building the PA community, organising bonding events etc.
Proactive Time Management (protect Platinion MD time by understanding priorities and screening requests):

Clear understanding of priorities, proactively prioritise and field all incoming time related requests from clients and teams across all MD spheres of interest

Understand the 'bigger picture' and use your business judgment to independently solve problems without MD interaction

Able to bring forward well-framed options and views on pros/cons for more difficult issues to your MD
Marketing (help build and support digital presence and marketing efforts):

Proactively manage contacts in Microsoft Dynamics and review and validate contacts for marketing opt-in/opt-out campaigns with executives and ensure required actions are completed

Pro-actively manage contacts, follow the latest developments (in the news) to be aware of job changes of most important and senior roles at clients

Support client research for all new projects

Develop an understanding of relevant insights and materials to share with MDs and clients
Event coordination:

Coordinate internal and external Platinion Brussels events, leading the end-to-end planning and execution process, including venue sourcing, budget management, finance processes and billing, logistics, communications, and attendee management.

Collaborate closely with the Events Team and Brussels Office Lead to ensure successful delivery of these initiatives.

Participate in bi-weekly Events Team meetings and provide regular updates through Slack and other communication channels.

Present event and affiliation updates during monthly leadership meetings
What You'll Bring

Previous Personal/Executive Assistant experience in the professional services sector

We offer you a team-oriented role working with Platinion Managing Directors (MDs) within the Brussels office. This position will suit an extremely detail-driven individual with excellent technical skills and a willingness to take on anything thrown their way. This is a highly organizational role in a fast-paced environment, so the ability to hit the ground running is a must!
