Today, we are looking for an exceptional person to join and strengthen our Infrastructure Department.
Within the Infrastructure team, information and requests currently come through multiple channels, making them more difficult to process and track efficiently. To centralise and streamline these exchanges, we are creating the position of Administrative & Operational Assistant, who will act as the central point of contact for all requests addressed to the team and provide essential administrative support to the Director of Infrastructure, Projects & Technical Operations, as well as to the Architects, Project Managers and Engineers.
Your responsibilities
Information flow management and coordination
Centralise all requests addressed to the Infrastructure team
Assign requests to the appropriate people
Gather the necessary information (internally or externally) from the relevant stakeholders, demonstrating persistence until the expected answers are obtained
Administrative follow-up of contracts and service providers
Prepare contracts, draft the necessary forms and send contract proposals to service providers
Follow up on quotations and contracts through to completion
Prepare purchase orders and act as the liaison with suppliers
Project compliance and documentation
Collect and process the administrative documents required for the proper management of projects (guarantee documents, insurance coverage, operational documents, etc.)
Check that we have the required certificates and attestations from the relevant authorities
Ensure that project files are complete, standardised and kept up to date
Process improvement
Work with Infrastructure Management to develop administrative and operational procedures
Ensure the communication and implementation of these procedures within the teams
Support the implementation of these procedures and contribute to their continuous improvement
Your profile
Rigorous, detail-oriented and highly organised, with a strong sense of follow-up
Tenacious and autonomous when gathering information, both internally and externally
Excellent organisational skills
Administrative experience in the building/construction sector is an asset
Excellent command of the MS Office suite; familiarity with AI tools is a plus
Fluent in French and English; knowledge of Dutch is an asset
