We are looking for a proactive, organized, and detail-oriented Administrative & Accounting Assistant to join our Support Centre team on a part-time basis (25 to 30 hours/week – to be discussed). This role will primarily support our accounting administration by ensuring the smooth processing and follow-up of supplier invoices while also assisting the Support Centre with a variety of administrative tasks. The ideal candidate will be a proactive, detail-oriented, adaptable professional with excellent multitasking abilities and a passion for the hospitality industry.
Key Responsibilities - Invoice Management
- Invoice management:
- Process supplier invoices accurately in our accounting software;
- Verify invoice information and ensure correct coding and approvals;
- Follow up with suppliers regarding outstanding invoices, payment reminders, credit notes, and invoice discrepancies;
- Prepare supporting documents such as proof of payments and respond to accounting-related queries;
- Assist in maintaining accurate accounting records and ensuring administrative compliance using Zenvoice and Exact Online, in collaboration with our external accounting consultants.
- Support the monthly invoice closing process and help keep supplier accounts up to date.
Administrative support
- Operations Support: assist with restaurant operations tasks such as coordinating certain kind of supplies, tracking orders, and updating inventory records;
- Document Management: organize and maintain company documents, including compliance with regulatory requirements;
- Event Coordination: assist in planning and executing company events, meetings, and team-building activities;
- Data Entry & Reporting: input, organize, and maintain data for reporting purposes, including sales figures, labor reports, and financial metrics as needed.
Qualifications and strengths
- Education: Bachelor’s degree in Business administration (secretariat de direction)
- Experience: At least 2 years of work experience
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
- Perfectly bilingual in Dutch and French, with a good knowledge of English
- Strong organizational skills with the ability to manage multiple tasks simultaneously
- Excellent written and verbal communication skills
- Strengths: Ability to work independently and as part of a team
- Enthusiastic and pro-active, and manage your work priorities effectively
