Your Work Context
As a Tender Administration Officer, you are the driving force behind a smooth and tightly organised tender process: you keep projects firmly on track, manage all documents and deadlines, and ensure that every tender is perfectly put together before it is sent out. From our office in Ostend, you’ll liaise between the design department, project engineers and clients on foundation projects, whilst your organisational skills and drive will make you an indispensable link within the entire company.
Since 2015, Soetaert has been part of Jan De Nul Group. Soetaert carries out all possible foundation techniques, both for buildings and infrastructure works. Your Role
From our office in Oostend, we are currently looking for an additional Tender Administration Officer. Some of your main tasks include:
Providing administrative support for the entire tender process for Soetaert projects, in close collaboration with the study department and project engineers;
Creating and maintaining projects in our project master database;
Submitting and following up on quotations, both internally and with our clients;
Monitoring and ensuring compliance with deadlines for tenders;
Requesting and following up on various official certificates required for the preparation of quotations and tenders;
Providing versatile support to other departments, including reception, payroll, invoicing, etc.
What do you need to have?

You have at least a secundary degree, with at least 3 years of relevant work experience in an administrative position.

You are a born organiser, work accurately and know how to maintain an overview in a context with strict deadlines.

In addition, you have:

A very good command of Dutch. You are able to communicate effectively in French and English, or you are willing to undertake further training.

Good knowledge of MS Office.

Strong communication skills to work with various internal and external stakeholders.

You are someone who can work independently, but also functions well in a team.

You like structure, work discreetly and have a keen eye for detail.

You are good at setting priorities in order to meet deadlines.
