Project Administrator / Document Controller – Fluent in English & French

We are seeking a Project Administrator / Document Controller who is fluent in English & French for a leading international construction and engineering company, to be based in Mons, Belgium. This role offers an exciting opportunity to work on high-profile projects in a fast-paced and professional environment.
Duties and Responsibilities:
- Administering Social Compliance software, including recording and reporting statistics to Belgian Social Authorities
- Receiving drawings, checking against the drawing register sheet, and resolving discrepancies prior to issue
- Managing all client documentation as required
- Controlling and compiling supplier documentation
- Managing the document/certification control process for multiple products
- Issuing drawings as directed by the Project Manager/Design Coordinator
- Overseeing approval drawings and using the in-house system to distribute, receive comments, and re-issue accordingly
- Issuing all technical submittals and maintaining a tracking schedule for each contract
- Verifying and approving material certification upon receipt for compliance with customer requirements; resolving discrepancies with suppliers
- Troubleshooting IT problems as needed
- Liaising with consultants, subcontractors, supervisors, planners, quantity surveyors, and site staff
- Overseeing quality control and supporting implementation of the company’s health & safety policy on-site
- Preparing reports for the Site Operations Manager
- Implementing health and safety regulations
Necessary Requirements:
- 3+ years’ experience in a similar administrative or document control role
- Fluent in English & French (written and spoken)
- Experience with Document Control Software and approval workflows (incoming and outgoing)
- Experience with SAP and/or MS Project (advantageous)
- Strong knowledge of Microsoft Excel, Word, and Windows OS
- Excellent organisational and coordination skills
- Highly motivated and detail-oriented with a commitment to professional standards
- Ability to work effectively within a team and communicate across multiple project stakeholders
- Proven ability to manage multiple projects and liaise with different management teams
Additional Details:
- Location: Mons, Belgium
- Start/Duration: July 2025 – March 2027
- Hours: Minimum 40 hours per week (Monday – Friday)
