About the Role
As our Service Operations Coordinator, you are the vital operational "glue" within our Service Operations department. You will act as the central bridge between Purchasing, Supplier Management, Hardware Specialists, and our Service Operations Engineers.
You will join a close-knit team of 4 experienced Service Operations Coordinators, each bringing their own area of expertise — some more focused on planning, others on purchasing or customer onboarding. You won't be doing this alone. The team works collaboratively, supports each other, and shares the workload. Within this team, your primary focus will be on warehouse coordination and logistics, while also contributing to the broader coordination tasks alongside your colleagues.
Key Responsibilities
1. Warehouse & Stock Management (Primary Focus)
Multi-Site Ownership: Take full ownership of our hardware inventory across three locations (Gembloux, Gent, and Houthalen). While physically based in Gembloux, you will digitally track and physically organize stock levels for all sites to ensure critical equipment is always available.
Logistics Flow: Receive incoming shipments, organize the warehouse, pick and pack orders, and ensure hardware is dispatched to the right Service Operations Engineers or customers exactly on time.
2. Planning & Dispatching
Optimize Field Operations: Organize, schedule, and follow up on the daily planning of Service Operations Engineers, ensuring strict compliance with SLAs.
Coordinate Installations: Schedule customer hardware/software installations and software trainings, seamlessly aligning Service Operations Engineer availability with device delivery timelines.
Clear Communication: Communicate assignments clearly to Service Operations Engineers to ensure timely, cost-efficient, and high-quality execution in the field.
3. Procurement & Supplier Management
Strategic Sourcing: Source, negotiate, and procure hardware components and technical materials under competitive conditions.
Vendor Management: Maintain strong supplier relationships, evaluate performance, and negotiate prices, lead times, and supplier agreements to support operational continuity.
Cross-Department Alignment: Coordinate closely with Sales and Planning teams to accurately forecast and meet upcoming material needs.
4. Staging, Onboarding & RMA Oversight
Orchestrate Staging: Our workstation and laptop staging is handled by an external partner, keeping this process lean and efficient. Internally, your role is limited to coordinating the staging of peripherals, ensuring they are plug-and-play ready for our Service Operations Engineers before each installation.
Digital Onboarding: Handle the initial administration for new clients, including creating customer tenants and setting up user accounts.
RMA & Returns: Oversee the Return Merchandise Authorization (RMA) flow from start to finish, coordinating with Service Operations Engineers and external suppliers to process defective gear efficiently.

Language Skills: Fluent in French with solid, professional proficiency in English.
