Job Description:
As part of a growing international organisation (>120 employees), MCI Benelux SA is looking for a dynamic HR Assistant.
The HR Assistant plays a key role in ensuring smooth and compliant HR operations while contributing to a positive employee experience. Serving as a primary contact for team members, the HR Assistant performs administrative tasks and services to support effective and efficient operations of the Human Resources department, liaising and reporting with People & Culture Director on a day-to-day basis.
Personnel Administration
- Responsible for the comprehensive management of personnel records, including entries, exits, contracts (employees/freelancers) , and amendments
- Oversee absence tracking for illness, holidays, time credit, and remote work, ensuring all HR data is accurately maintained within social secretariat ‘s & internal systems
- Provide payroll support in close collaboration with P&C director and the social secretariat
Contact person for HR suppliers concerning all additional benefits : insurances (group, hospitalisation, travel), telephony and follow-up on queries and operate the control of all invoices received

Recruitment & Onboarding
- Assist throughout the recruitment process by posting job advertisements, sorting CVs, and organising interviews
- Coordinate and facilitate new hires on-boarding including all administrative & IT set-up in accordance with company policies (GDPR, IT, ESS, etc.)
- Direct collaboration with the interim agency for temp’s staff (weekly schedule, invoices, etc.)
HR Support & Employee Relations
- Serve as the primary HR contact for employees, addressing routine HR queries
- IT support (order PC, preparation computer) in close collaboration with HQ helpdesk
- Participate in internal HR communications/internal event and help foster a positive, respectful workplace culture
- Collaborate in the organisation of training programs (CEFORA), 1st Aid and Fire evacuation and be responsible for compilation for bilan social
Be aware of the most recent trends in the HR sector by attending trainings/webinars/reading articles ensuring that the company complies with employment and labour laws. Participate to the update any HR procedures and internal documents accordingly.

Desired Profile
- Eligible to work in the EU
- Candidates should hold a bachelor’s degree or master in Human Resources
- Ideally, they will have between 2 to 3 years’ experience in an administrative HR role
- A strong understanding of Belgian social legislation and comfortable in all HR administration and general practices.
- Candidates should be comfortable using MS Office tools, including Excel, Word, and Outlook and experience with social secretariat platforms
- Able to work in an international and multicultural environment
- Proficiency in French and Dutch along with a solid command of both spoken and written English
- Demonstrate a keen sense of confidentiality and ethics. Strong organisational skills, attention to detail, and autonomy are crucial.
