GROUP SOPEX — COFFEE DIVISION
Senior Logistics Coordinator
Antwerp, Belgium · Hybrid (Berchem) · Full-time
ABOUT GROUP SOPEX
Group Sopex is a family-owned global commodities trading company headquartered in Antwerp, with more than 130 years of history. We specialize in soft commodities such as coffee and sugar, combining deep market expertise with strong customer partnerships. Our values remain constant: flexibility, long-term thinking, and a commitment to sustainable and ethical sourcing. Customers appreciate not only our commercial excellence but also the close personal relationships we build and our dedication to delivering reliable, tailored solutions.
THE ROLE
We are looking for a senior Logistics Coordinator to strengthen our Coffee Division. In this role, you take ownership of the physical execution of Sopex's global coffee contracts, from origin to destination — coordinating closely with shipping agents, ports, warehouses, customs, clients, and internal teams, and bringing the experience to anticipate issues before they arise. The position requires both structure and adaptability, as well as a strong sense of accountability toward clients, traders, and the broader execution process. Through accurate document handling, proactive communication, and a problem-solving mindset, you help guarantee timely deliveries, contractual compliance, and cost efficiency — all while safeguarding Sopex's reputation in international coffee markets.
KEY RESPONSIBILITIES
- Full-cycle shipment execution: coordinate all steps from booking to final delivery for sea and land shipments.
- Shipping documentation: prepare, verify, and dispatch all export/import documents (B/L, invoices, certificates, customs declarations) according to contract terms and international trade regulations.
- Stakeholder coordination: liaise daily with suppliers, shipping lines, warehouses, customs agents, clients, and internal teams (Trade, Finance, Risk).
- Cargo & insurance: ensure that all cargo is properly insured at the point of possession and stored in compliance with contract requirements.
- Data & systems management: maintain up-to-date shipment records in Caja or related systems; monitor shipping status, verify EUDR data via GRAS and DDS, and track exposures.
- Client support: provide weekly shipment overviews to key traders, handle pre-invoice confirmations, and resolve issues related to delays or documentation.
- Invoicing & payments: verify supplier and warehouse invoices; coordinate payments and LCs with the Finance Department.
- Internal reporting: report critical delays or irregularities to the Head of Logistics and provide weekly operational updates.
