The role
We are looking for an organised and proactive Operations & Internal Sales Coordinator to manage the day-to-day flow between customers, sales, sample production, suppliers and logistics. This person will be the operational backbone of the commercial organisation: ensuring that enquiries are answered, quotations and orders are processed accurately, samples are followed up, customer information is recorded correctly and deliveries happen as promised.
This is a broad coordination role in a growing entrepreneurial business, where responsibilities span customer service, internal sales, operations and logistics. The focus is on coordination and ownership rather than specialist expertise in every area.
The role requires someone who enjoys bringing structure to a fast-moving environment, communicates confidently with premium clients and partners, and follows every detail through to completion.
This is not primarily a business development or brand strategy position. The focus is on converting commercial opportunities into a professional, reliable customer experience and on making the underlying processes more efficient and scalable.
Core Responsibilities
- Customer enquiries & internal sales: Act as the first operational point of contact for customers, architects, designers, painters, contractors and partners; respond to emails, calls and messages promptly and professionally.
- Quotations: Prepare accurate and timely quotations, ensuring that pricing, quantities, product choices, delivery details and project requirements are complete and correct.
- Orders & invoicing: Process customer orders, coordinate purchasing and delivery, prepare invoices and follow each order through to completion.
- CRM & pipeline administration: Create and maintain deals, contacts, follow-up actions and sample requests in Teamleader; keep project information accurate and ensure that open opportunities do not disappear from view.
- Sample coordination: Coordinate standard and bespoke samples, including internal briefing, deadlines, colour and product information, labelling, packaging, shipment and customer follow-up.
- Project follow-up: Track ongoing customer projects from enquiry to order and delivery, proactively follow up on agreed actions and flag delays, missing information or commercial risks.
Additional responsibilities
- Colour & product administration: Maintain colour formulas, sample references, project records, photos and supporting documentation in a consistent and searchable way; coordinate uploads and production information with suppliers where required.
- Order fulfilment & logistics: Place purchase orders with suppliers, organise domestic and international transport, prepare shipping labels and coordinate collections and deliveries.
- Export administration: Gather and prepare the information and documents required for shipments outside the EU, working with transport partners and external specialists where necessary.
- Stock coordination: Support inventory planning, monitor stock levels and lead times, and highlight risks of shortages or overstock.
- Supplier coordination: Follow up production, replenishment, delivery timing and operational questions with key suppliers.
- Technical customer support: Provide first-line product and application information using approved documentation and involve the appropriate technical expert when questions require specialist judgement.
- Cross-functional coordination: Translate customer expectations clearly to sample production, product management, suppliers and logistics partners, ensuring that responsibilities and deadlines are understood.
- Process improvement: Help standardise workflows for quotations, samples, orders, colour records, stock and shipping; identify recurring bottlenecks and propose practical improvements.
Your profile
- Relevant experience: You have approximately 1–3 years of experience in internal sales, sales administration, customer service, order management or operations. More experienced candidates are also welcome, provided they are comfortable with the highly hands-on and execution-focused nature of the role within a small team.
- Location & work authorisation: As visa sponsorship is not available for this role, we are looking for someone who is already based locally and authorised to work in Belgium.
- Highly organised: Able to manage many parallel requests, deadlines and dependencies without losing sight of details or follow-up actions.
- Customer-focused communication: Professional and responsive in written and spoken communication, with the maturity to deal with architects, designers, contractors, suppliers and high-end clients.
- Accurate & reliable: Strong attention to detail in quotations, orders, formulas, shipping documents, invoicing and data entry.
- Operational ownership: Does not stop at forwarding a request; follows issues through, coordinates the people involved and confirms that the agreed outcome has been delivered.
- Practical problem-solving: Calm and resourceful when priorities shift, deadlines are tight or external partners create delays.
- Systems-minded: Comfortable working with CRM and administrative systems such as Teamleader, Excel and shared documentation; motivated to improve structure and data quality.
- Languages: Fluent Dutch and strong professional English. French is a valuable additional asset.
- Cultural fit: Appreciates craftsmanship, premium design and quality, while bringing the discipline and pragmatism needed to build a scalable business.
- Mobility: You hold a valid driving licence and are comfortable travelling between different locations when needed. Having your own car is helpful.
Growth opportunity
As the company grows, this role can evolve into an Operations Manager or Customer Operations Lead position, with broader responsibility for processes, systems, suppliers and the coordination of the operational team.
